Service Coordinator / Administrator - Packaging Equipment - MC269789

Service Coordinator / Administrator required for an international packaging equipment manufacturer based in Taplow. The successful candidate will have similar experience within service engineering administration.



Service Coordinator / Administrator - Packaging Equipment Position Overview

  • Liaising with external and internal engineers daily
  • Daily processing of Tool Replacement Forms and updating CRM
  • Despatch of replacement customer Equipment
  • Updating customer Contracts with relevant Equipment
  • Processing Daily Job Sheets
  • Processing Stock Adjustments

Processing customer tool quotations, sending quotations to customers and chasing for a response/order number.

  • Adding the customer tool information onto CRM and keeping the repair spreadsheet fully updated.
  • Processing of card payments for customer tool repairs
  • Despatching tools once repaired, and ensuring an invoice is submitted to customer.

Processing an Estimate for repair to Customers whose Rental Tools have been damaged beyond our 'fair wear and tear' policy and follow up a response/order number

  • Raise invoices for Damaged Tools once order number is received

Despatching new and additional Rental Equipment to customers

  • Creating new Rental Contracts and sending them to customers for signature via Zetadocs (auto document sending programme)
  • Arrange collection of unwanted Rental Tools
  • Booking into stock all Rental Tools which have been returned by the customer
  • Cancelling any Rental Contracts for returned rentals
  • Creating monthly rental invoices in accordance with monthly renewal report
  • Request order numbers from customers where appropriate to cover the Rental Renewal
  • Submitting rental invoices to customer via Zetadocs
  • Processing Credits and Booking in of machines/tools returned from Rental

External engineering paperwork

Record Breakdown Calls and pass comprehensive information through to the relevant External Engineers

  • Record all Service/Breakdown visits on the FROMM maintenance schedule
  • Ensure the Engineering Calendar is immediately updated



Service Coordinator / Administrator - Packaging Equipment Position Requirements

Basic Microsoft Word, Excel and Outlook skills essential

  • Microsoft CRM and Navision experience desirable but not essential

Previous experience in a similar role

Salary likely circa £30k plus potential YE bonus (not fixed)

8:30am - 5pm

25 days holiday + banks
